A trading company's orders usually live across Excel files, WhatsApp, email and someone's memory. Ordenvia puts every order in one system, from the client's request to the commercial invoice. Each step links to the one before it, automations do the copying, and the paperwork comes out of the data.

How it works

An order moves through six steps. The team does the judgement work; the system does the copying.

  1. 01RequestThe client's order arrives as an Excel, a PDF or a screenshot. It gets a record with the client, the date and an owner.
  2. 02QuoteThe order is converted to one row per product, colour and size, and loaded with a single paste instead of about twelve.
  3. 03OrdersOne tick creates a purchase order for each supplier and the sales order for the client, with every line mirrored on both sides.
  4. 04ProductionEach order gets its milestones, from 4 for fabrics up to 9 for garments with barcodes, with quality control as a check that blocks shipping.
  5. 05ShipmentContainers leave China. Their arrival date updates itself three times a day through a container-tracking API.
  6. 06InvoiceA document generator issues the proformas and the commercial invoices, one per bill of lading, for each of the company's legal entities.

Built so the expensive mistakes cannot happen

Four rules that cost a trading company money when they break. In Ordenvia they are part of the data model.

Supplier cost stays private

The buying side and the selling side are separate. A supplier price cannot reach a document the client sees.

Every invoiced unit has a source

Invoice lines link to order lines, so each invoiced quantity traces back to its order, even when a proforma splits across shipments.

Change it once

Order lines mirror the winning quote line. When a specification changes, nobody re-types it.

Alerts instead of chasing

Ten alerts reach the team on weekday mornings, with a Friday digest and a Monday check that recomputes the alert conditions.
